Constantine Academy ("we", "us", "our") is committed to protecting the privacy of our players, parents/guardians, and website visitors. This policy explains what personal information we collect, how we use it, and the rights you have over it, in line with UK GDPR and the Data Protection Act 2018.

Who We Are

Information We Collect

We may collect and hold the following types of information:

  • Player and parent/guardian details — name, date of birth, address, phone number, and email address, provided when registering for a taster session, trial, or full membership
  • Emergency and medical information — emergency contact details and any relevant medical information needed to keep players safe during sessions
  • Payment information — details needed to process membership fees and invoices (we do not store full card details)
  • Player development records — Individual Development Plans (IDPs), match evaluations, and coaching notes
  • Photos and video — taken at training sessions, matches, and events, which may be used for coaching feedback or promotional purposes (see "Photos and Media" below)
  • Website usage data — basic analytics data collected automatically when you visit our website

How We Use Your Information

We use the information we collect to:

  • Register and manage player membership, including trials and taster sessions
  • Plan and deliver coaching, including Individual Development Plans
  • Communicate with parents/guardians about sessions, fixtures, and club updates
  • Process payments and invoices
  • Ensure player safety, including emergency and medical situations
  • Promote the club through our website and social media (only where consent has been given — see below)
  • Meet our legal and regulatory obligations, including those relating to safeguarding

Photos and Media

We regularly take photos and videos at sessions, trials, and matches for coaching purposes and to promote the club on our website and social media channels (including Instagram, TikTok, and WhatsApp). As our players are minors, we ask for parent/guardian consent before using any identifiable photo or video of a child in promotional material. If you would prefer your child not to be included in promotional photos or videos, please let us know in writing and we will note this on their file.

Who We Share Information With

We do not sell or rent personal information to third parties. We may share limited information with:

  • Relevant football governing bodies and leagues (such as the FA or Harrow Soccer Combination), where required for registration or competition
  • Coaches and club staff, on a need-to-know basis, to support player development and safety
  • Service providers who help us run the club (for example, website hosting or payment processing), who are only permitted to use your data to provide that service

How Long We Keep Information

We keep personal information for as long as a player is registered with the club, and for a reasonable period afterwards where we have a legal, safeguarding, or administrative reason to do so (for example, financial records). After this, information is securely deleted or anonymised.

Your Rights

Under UK data protection law, you have the right to:

  • Ask what personal information we hold about you or your child
  • Ask us to correct inaccurate information
  • Ask us to delete information we no longer have a valid reason to keep
  • Withdraw consent for the use of photos/video in promotional material at any time
  • Object to how your information is used, or ask us to restrict its use
